PICG Meeting Notes
November 14, 2001Agenda Items:
PICG Website
Exciting News! The PICG website is currently online at http://www.pihealthcare.org.
Theresa Norton navigated us through a demonstration of the website. The ensuing discussion focused largely around, objectives, target audience, format, and delegation of responsibilities.
Objectives reiterated:
- Tool Repository
- Intro to PI Material
- Benefits of PI
- Results/Case Studies
- ‘Lessons Learned’ introducing PI to the field
- On-line Q&A/coaching
- Group Identity Formation
- Peer collaboration
Target Audience – "One Size Fits None"
Field offices, CAs, donor organizations, all those interested in promoting or learning about the Performance Improvement Process in the healthcare field/low-resource settings- first abroad, then at home. Although not the target audience, the information on the site could also be applied to secondary audiences across sectors such as agriculture or education:
Objective:
To promote, educate, and share PI experiences, materials, and tools with target audience.
Format:
Kept simple in order to stress the importance of making the website accessible and easy for that target audience, and therefore keeping to a minimum cumbersome links, etc. (We want the developing world audience to know that the website is primarily for them!) Discussed the objective of producing CDs of the website for distribution in the field to provide access to resources and tools housed therein.
Additional Comments:
- Any PowerPoint presentations that are posted will be converted into html and should include speakers notes.
- User questions and comments will be sent to info@pihealthcare.org
- Text needs to be further refined
Future Items to consider:
- Reading Room to house documents, reference texts, links
- Translation possibilities – for now documents already in other languages will be posted, but we will not yet take it upon ourselves to translate documents into other languages as of yet. Perhaps later look at providing translations for highly requested documents and overall content.
- Promotion possibilities via emails, newsletters, etc. (Rick, Theresa, J. Griffin)
Delegation of Responsibility:
Currently, the need for organization and participation are in conflict; there is has been a tendency to jump to a root cause as opposed to creating solutions.
Roles and Responsibilities:
- Overall web site coordination: Jim Griffin
- Technical Updates & overall Architecture: Theresa
- Review/QA: First Jim Griffin who designates a member of the PICG Group
- Lessons Learned (now called Experiences with PI)/Tools: Information, Communication & Education Subcommittee (ICE)
- Review of submissins to Experience with PI: Michelle, John Pollock, Kama
Specific rewrites due:
- Preamble: Sarah, due Nov. 30 (10 days less Thanksgiving)
Reviewers: Marc, Edgar, Michelle, Jerry- Intro to PI: Rick, due Nov. 30
Reviewers: Marc, Lauren, Kama, Allison, and Jerry- PICG description: Jim, due Dec 6
Reviewers: Allison, Alice"PI LESSONS LEARNED" renamed "SHARED EXPERIENCES IN PI"
(in order to evoke a broader, less intimidating connotation)
Stepping through the PI process led us to the gaping wound of a lack of performance expectations and low motivation to submit lessons learned. Therefore, we defined very specific performance expectations, and discussed what should motivate the group to produce and support this venture. These are the findings and decisions:
Performance Expectations:
Timetable for number of submissions for "Experiences in PI"
Calendar Year 2001: Due by 12/31/01
PCS - 1
MSH - 2
JHPIEGO - 2
PRIME – 2
JSI – 2 (speak with Mark Rilling)
Basics – 2 (speak with Jana)
Calendar Year 2002: 1 submission per CA every 6 monthsMotivation will be largely internal and self imposed, but there is a shared belief that support of the team is very important. Since PI is a topic that our funding organization (USAID) is very interested in seeing move forward, so should we be -- whether directly as a part of our mandate or not.
